How to Calculate Hours and Minutes Worked
To calculate hours and minutes worked accurately for any workday, follow these core steps:
- Record Clock-In and Clock-Out Times: Note your exact starting and ending times (for example, in at 8:30 AM and out at 5:00 PM).
- Convert to 24-Hour Time (Military Time): Converting times prevents AM/PM calculation errors. 8:30 AM becomes 08:30, and 5:00 PM becomes 17:00.
- Calculate Duration: Subtract start time from end time: 17:00 − 08:30 = 8 hrs 30 min.
- Subtract Lunch & Unpaid Breaks: If you took a 30-minute unpaid lunch break: 8h 30m − 30m = 8h 00m net work time.
- Convert Minutes to Decimal Hours: Payroll software requires decimal hours. Divide minutes by 60: 30 min ÷ 60 = 0.5 hrs.
Decimal Hours = Hours + (Minutes ÷ 60)
Gross Pay = (Regular Hours × Hourly Rate) + (Overtime Hours × OT Rate)
Minutes to Decimal Hours Conversion Table
Payroll accounting programs (like QuickBooks, ADP, and Gusto) calculate employee pay using decimal hours rather than minutes. Use this official work hours converter reference table:

How to Calculate Overtime Pay (Time and a Half & Double Time)
Under the United States Fair Labor Standards Act (FLSA), covered non-exempt employees must receive overtime pay for any hours worked exceeding 40 hours in a single workweek at a rate not less than time and one-half (1.5×) their regular hourly rate.
1. Time and a Half Pay Formula
If your regular wage calculator per hour is $25.00/hr, your overtime rate is:
Overtime Rate = Regular Rate × 1.5 = $25.00 × 1.5 = $37.50 per hour
If you worked 46 hours in a workweek, your 6 overtime hours yield: 6 × $37.50 = $225.00 overtime pay, for total weekly gross earnings of $1,000 + $225 = $1,225.00.
2. California Daily Overtime (CA OT) & Double Time Rules
California labor code requires daily overtime thresholds in addition to the standard weekly 40-hour limit:
- Daily Overtime (1.5×): Paid for all hours worked exceeding 8 hours up to 12 hours on any single workday.
- Double Time (2.0×): Paid for all hours worked exceeding 12 hours in a single workday.
- 7th Consecutive Day Rule: If an employee works all 7 days of a workweek, the first 8 hours on the 7th day are paid at 1.5×, and any hours exceeding 8 are paid at 2.0× double time.
Bi-Weekly & Annual Work Hours Calculator
Many businesses process payroll on a bi-weekly schedule (26 pay periods per year) or a semi-monthly schedule (24 pay periods per year). To calculate your annual work hours:
- Standard full-time: 40 hrs/week × 52 weeks = 2,080 annual work hours.
- Bi-weekly pay period: 80 hours per pay period.
- To convert annual salary into hourly rate: Hourly Wage = Annual Salary ÷ 2,080 (e.g. $60,000 ÷ 2,080 = $28.85/hr).
