Party Budget Planner — Birthday, Graduation, Cookout & Event Budget Calculator
Plan any non-wedding party on a real budget: build a per-category budget, link food & drink quantities to cost, scale everything by guest count, and track actual spend against plan. No signup — everything happens in your browser.
Budget builder — start from your cap
Enter the maximum you can spend (reverse mode). The tool allocates it across categories using an event-type preset — then drag any slider to tune it.
Benchmark ranges are rough US-based planning guides (e.g. cookout $18–$35/guest), not quotes.
Food costing — quantity-linked to your guest list
Quantities follow the same per-person formulas as our party food lab: adult 1 lb mains + 0.75 lb sides, kids at half, 3 appetizer pieces/adult/hour. Enter your local prices to turn quantities into a food budget.
Your unit prices
Drink costing — pace-based, with ice
Uses the pace formula from our party drink lab: light 0.75, average 1.0 or lively 1.5 drinks per adult per hour. Bottles and cases always round up — you can't buy half a case.
Your unit prices
Please drink responsibly and plan safe transport. Non-alcoholic options for every guest are a good idea.
Guest-count scaler
Food and drink scale with headcount; venue, rentals, decorations and entertainment are treated as fixed unless you change them. First calculate food & drink costs in tabs 2–3, then scale here.
Scaling is linear on per-person quantities. Fixed categories keep their builder values — a venue quote doesn't get cheaper when 5 guests cancel.
Spend tracker — planned vs actual
Enter what you actually spent. Data saves automatically in your browser (localStorage) — nothing is uploaded anywhere.
What you can plan with this party budget calculator
This free event planning budget calculator works as a birthday party budget calculator and birthday party budget planner for both kids' and adult birthdays, a graduation party budget planner with rentals weighted in, a cookout budget planner for backyard BBQs, a game day planner, and a holiday party budget planner. Throwing a birthday party on a budget? Start from your hard cap in the builder — the reverse mode allocates every dollar so nothing is forgotten.
Your birthday party food budget is handled by the Food costing tab: it converts your guest list into exact quantities (which answers how much food per person you really need) and prices them with your local costs, then checks the result against your food allocation. The Spend tracker is a true actual vs budget log: planned vs actual per category, with CSV export for your records. Searching for a budget calculator for event planning in general — including a corporate event budget calculator for small office parties — the same builder, scaler and tracker work for any event type.
How the math works
Food quantities (per person)
| Item | Adult | Kid (0.5×) |
|---|---|---|
| Mains, cooked-equivalent (buffet) | 1.00 lb | 0.50 lb |
| Sides, total across all sides | 0.75 lb | 0.375 lb |
| Appetizer pieces, per hour (first 2 h) | 3.0 | 1.5 |
| Appetizer pieces, per hour (after 2 h) | 1.5 | 0.75 |
| Cake / dessert | 1 slice per guest + 5% overage | |
Adjustments: seated dinner → mains ×1.20, appetizers ×0.50. Appetizers-only party → appetizers ×1.25, mains/sides skipped. Based on standard catering serving guidance (catering-industry rules of thumb: ~1 lb protein + ~0.5–0.75 lb sides per adult for a buffet).
Drinks (pace-based)
| Pace | Drinks per adult per hour |
|---|---|
| Light | 0.75 |
| Average | 1.0 |
| Lively | 1.5 |
Non-alcoholic servings: 0.5 per adult per hour + 1.0 per kid per hour. Default split: 50% beer / 30% wine / 20% spirits. Conversions: wine bottle = 5 servings (750 ml), beer case = 24 servings, spirits bottle ≈ 17 servings, ice ≈ 1 lb per guest. Purchase quantities round up to whole bottles/cases.
What scales and what doesn't
When you change the guest count, only food and drink (quantity-linked) scale linearly. Venue, rentals, decorations and entertainment are treated as fixed costs. Allocations are planning benchmarks, not financial advice.
